googleOverview
The Gmail connector lets RunMyProcess workflows work with a mailbox the way a person would, only without the manual steps. A process can send an email, list the messages that match a query, read a specific message and change its labels, so email becomes a structured input and output of your automation rather than a separate inbox someone has to watch.
Typical flows read incoming requests, invoices or orders from a shared mailbox, hand their content to the next step (a document-extraction service, an approval, an ERP update) and label each message so the team can see what has already been processed. Outgoing emails are sent from the workflow itself, with the data of the case they belong to.
Common use cases
- Read supplier invoices arriving in a shared mailbox and pass them to document extraction and approval.
- Label processed messages so the team sees at a glance what the workflow has already handled.
- Send confirmation, reminder and rejection emails from the workflow with the case data filled in.
- Turn customer requests received by email into tracked cases with an owner and a deadline.

Frequently asked questions
What can the Gmail connector do in a RunMyProcess workflow?
+
It sends emails, lists the messages that match a search, reads a specific message and changes its labels. Each operation is a step of the process, so a mailbox can be both an input and an output of your automation.
Can a workflow process the emails that arrive in a shared mailbox?
+
Yes. The process lists the messages that match a query, reads each one, passes its content to the next step and changes its label, so the team can see which emails have already been handled.
Are the emails sent from the workflow personalised?
+
The Send Email step takes its recipient, subject and body from the case, so confirmations, reminders and rejections carry the details of the request they belong to.
